Support Staff Timetabling · NCCD Compliance · The only tool of its kind in Australia
The spreadsheet was never built for this. Allocateiq was. The only purpose-built support staff timetabling and NCCD compliance tool in Australia — tracking structured literacy, numeracy intervention, and other specialist programs alongside all four NCCD levels. Built for the coordinator workflow. Built for the acquittal obligation. Built for the leadership question that comes after both.
Which LSO — or teacher aide, education assistant, or integration aide — is free period 3? Who is covering for today’s absence? Which students missed support this week — and does that affect our NCCD acquittal? For leadership: is our investment in support hours reaching the students who need it most?
Allocateiq answers all of these from the same system you use to build the timetable. No spreadsheet. No phone call chain. No manual evidence reconstruction at year end.
General workforce scheduling tools exist but are not built for NCCD. School information systems have deployment modules but do not connect LSO assignments to NCCD student categories or generate acquittal evidence automatically. Allocateiq was built specifically for this workflow — and nothing else in the market does what it does.
Most timetabling tools track who is where. Allocateiq tracks why — linking every LSO assignment to the student, the NCCD category, and the program. That connection is what makes the acquittal automatic and the leadership analytics meaningful.
| Data type | What Allocateiq captures | Why it matters |
|---|---|---|
| NCCD levels | QDTP, Supplementary, Substantial, Extensive — per student | Acquittal evidence sorted by adjustment level at export |
| LSO contract type | Permanent, Casual, On Leave — with FTE and hours per week | Acquittal wages vs funding calculation is automatic |
| Intervention programs | structured literacy program, numeracy intervention program, Foundation Math, Intervention, Regular, Floater | Program coverage analytics — which programs are running, how often, and to whom |
| LSO training | structured literacy certified, numeracy intervention certified, intervention certified — per LSO | Clash detection prevents unqualified LSOs from being assigned to specialist programs |
| Absence records | Sick leave, personal leave — with term and week stamps | Absence history feeds LSO analytics and replacement audit trail |
| Student support periods | Week, term, and year counts — per student | Students with low support periods are flagged before census |
| Multi-campus | Campus filter across all views — timetable, today, planner | Large and Enterprise tiers manage multiple campuses from one system |
Drag-and-drop grid with clash detection. Assign LSOs to classes across the full term. Conflicts flagged as you assign, not discovered on the day.
Today view shows live deployment. Flag an LSO absent and all affected classes are highlighted immediately for reallocation. No calls, no WhatsApp chains.
Every LSO assignment is linked to the students supported, their NCCD category, and their program. Evidence accumulates automatically as you use the timetable.
Analytics dashboard: LSO period load, workload equity, program coverage, NCCD category breakdown. One view, no aggregation. Leadership gets the picture without asking for it.
New Term wizard carries forward your LSO list, updates bell times, generates the term calendar, and opens for assignment. Five steps, five minutes.
One-click export: student NCCD summary, weekly assignment records, LSO hours with verification method, and wages vs NCCD funding percentage. Ready for census. No reconstruction required.
Assign LSOs to structured literacy, numeracy intervention, and specialist classes. Training badges show which LSOs are qualified. The timetable prevents misassignment automatically.
LSOs scan a QR code on their phone to see their full day schedule. Period, class, room, and students listed. No paper. No WhatsApp. Updated in real time as changes are made.
Replaces hours of weekly spreadsheet work. The timetable is always current. Absences handled without a phone chain. The term-end export goes straight to the NCCD submission without reconstruction. Leverage the timetable data you already have — it becomes your acquittal evidence.
NCCD compliance evidence collected automatically. Analytics show whether LSO hours reach the students who need them most. The acquittal tool links student load to wages and funding — ready for census.
Scan a QR code on their phone to see their day’s schedule. No paper briefing notes. No confusion about room changes or covered absences.
At the end of each term, one click exports a 3-sheet Excel workbook. Sheet 1: student NCCD summary — name, year, category, LSO, programs, weekly support periods. Sheet 2: weekly assignment detail with LSO names and class codes. Sheet 3: LSO hours with verification method column. This workbook goes directly to your acquittal submission. No reconstruction. No copying from emails.
Every tier includes the full scheduling and compliance engine. Annual licence per school — no per-LSO, per-student, or per-export charges.
Annual licence per school. No per-LSO charges. Standard $1,800/yr · Large (500+ students) $2,800/yr · Enterprise (multi-campus) $4,200/yr. Pilot is free. Bundle with Writeiq and save approximately 25%.
The NCCD acquittal workbook Allocateiq generates covers five staff groups: Learning Support Officers, Intervention Teachers, Wellbeing and Counsellors, First Aid Officers, and Administration and Coordination staff. For each group it records name, role, classification, FTE, and annual wage.
The summary calculates total wages against the school’s NCCD funding amount and shows the percentage. This is the number the business manager needs. It is generated automatically from data that already exists in the timetable system — no separate calculation, no manual export from payroll.
The Nationally Consistent Collection of Data on School Students with Disability has specific evidence requirements: the level of adjustment, the nature of the support, and the personnel involved. Allocateiq was built around these requirements. The four NCCD levels — QDTP, Supplementary, Substantial, and Extensive — are the categories used in every report. The evidence Allocateiq collects maps directly to what the guidelines require. There is no translation step.
Allocateiq has three analytics views. Coordinators see LSO workload, absence counts, and utilisation. But the data that matters most to leadership is whether the investment in support is working.
The analytics dashboard flags when LSO workloads are significantly uneven across the team. Principals can see whether work is distributed fairly before it becomes a staffing issue.
How many support periods is each student receiving this week? This term? This year? Sorted by NCCD level. Students with low support periods visible before census — not reconstructed after it.
Which programs are running across the school, how frequently, and to how many students? structured literacy program, numeracy intervention program, and intervention class analytics — separate from general LSO deployment.
Total absences this term, replacement coverage rate, and which classes are most affected. Leaders see the cumulative impact of absences on support delivery, not just individual absence events.
The LSO coordinator problem is not just administrative. Research on inclusive education consistently shows that the quality and consistency of LSO deployment is as important as the hours funded. An LSO timetabled to the wrong class, or deployed without knowledge of the student’s program, delivers less value than the hours suggest. Allocateiq makes consistent, program-aware deployment the default — not the exception.
The Disability Standards for Education 2005 require schools to make reasonable adjustments on an individual basis and to consult with students and their associates. The NCCD provides the evidence framework for those adjustments. Allocateiq connects the daily deployment decision to the evidence obligation — so the coordinator’s ordinary work of building and maintaining the timetable is simultaneously building the acquittal case.
Pilot is free. No financial commitment required.
Extras management, yard duties, and staff cover — connected to your Allocateiq data. The only daily organiser that flags NCCD impact when a support student misses their session because of cover.
